ATHLETIC & RECREATION VAN POLICIES AND PROCEDURES
To request a van:
Please fill out the on-line reservation form with your request. Please specify the following:
- Date(s) needed.
- Times you will be picking and returning the van.
- Number of vans needed.
- Number of passengers (including drivers).
Key pickup:
The van keys are kept at the Office of Public Safety located at 716 Columbus Ave. A certified driver must be present to pick up the keys. The keys are available to be picked up right before van pickup and should be returned immediately after the van has been returned.
Van pickup/return:
The athletic & recreation vans are located in the lower level of the Renaissance parking garage. Please make sure that the number on the key corresponds with the van number. When you return a van please make sure that it is in good condition for the next group that uses it. Vans are to be returned with a full tank of gas. By making sure that the gas has been refilled, the trash has been picked up, and the van is generally clean will help save everyone a lot of time and energy.
Drivers:
The athletic vans can only be operated by those who are on the approved list of van drivers. Only those individuals who are certified drivers are allowed to drive the vans. No exceptions. The driver(s) must be present at the time of pickup in order to receive the van keys. To have a student certified, they must be at least 21 years of age, and have a clean driving record for three years. No exceptions. Driving tests are set up through Omar Rouhana

THE LAW:
All State and Government laws must be observed when driving, AND only 12 people are allowed in a van, (11 passengers and the driver).
The safety of our student athletes, the coaches and the staff is our highest priority. Any team or club found in violation of these rules will be subject to severe penalties.
SAFETY:
Trips that requires more than 6 hours of driving, it is required that 2 certified driver are in each assigned van. It is recommended and expected from all, that each driver should not drive more than 6 total hours per day, and that drivers alternate driving the van every 3 hours.
Last minute emergencies:
If you have a last minute request and/or transportation issue and are in desperate need of a van you must contact Omar Rouhana (617) 365-3424
Penalties for van misuse:
Programs will be assessed a penalty for misuse or failure to properly maintain a van. Penalties include, but are not limited to, the following:
- $25 cleaning charge, $20 plus the cost of a full tank of gas if the van is not returned with a full gas tank.
- Drivers will be responsible for the cost of a ticket for any moving/parking violations as well as any additional charges that may be incurred.
If a program is found to have abused its van privileges that program may be subject to further discipline. If a program loses its van privileges that PROGRAM will be charged for any necessary transportation costs that are necessary to substitute van usage.
Please note that there are a limited number of vans available for use by all athletic programs. Due to a limited number of vans priority will be given to those programs that are currently in-season. While we will attempt to accommodate everyone’s needs, a van request does not guarantee you the use of a van. Please be sure to make your requests in advance to have the best chance of securing a van. Thank you.
